What an AI receptionist does

Sara answers your business's phone and WhatsApp, understands what the caller or writer needs, checks your calendar and books, changes or cancels the appointment. It is not an answering machine or a menu of options: it is an ordinary conversation, in Spanish, Catalan or English, that ends with the appointment made.

The problem it solves is easy to verify: count how many calls go unanswered on a Tuesday morning. Each one is a customer who, almost always, calls the next name on the list. We go into it in how to stop losing calls.

Phone and WhatsApp, one set of rules

Both channels share the same information and the same rules, so they never contradict each other. If somebody books over WhatsApp and then calls to change it, Sara already knows which appointment they mean.

• Always answers: out of hours, at weekends and when the team is busy.
• Books into your calendar, using real availability and the duration each service actually takes.
• Recognises returning customers and does not make them repeat what they already said.
• Hands over to a person when a query goes beyond what was anticipated, instead of improvising.
• Stops on its own if somebody at the business steps in to answer that chat by hand.

It says that it is an AI

Sara introduces herself as a virtual assistant at the start of the conversation. That is not a courtesy: since August 2026 the European AI regulation requires telling anyone who speaks to an automated system, and the obligation falls on the business using it too. Skills for your sector

The base is the same for everyone, and on top of it goes whatever your business needs: full table-booking management with capacity control for restaurants, indicative vehicle valuation for car dealers, collecting details ahead of a first appointment. If what you need is not there, it gets built.

We start from how you handle things today: what services you offer, how long each takes, which questions repeat, and what a machine should never decide. With that we configure Sara, test her with you and leave her running. We are based in Vallès Occidental — Polinyà, Santa Perpètua, Sentmenat, Sabadell, Terrassa, Barberà, Caldes and Mollet — and work with businesses across Spain too.
